Before Applying

Q: I see that the position I’m interested in has been posted 30 + days. Should I still apply?

A: Yes. If you see the position listed, it is still active, and you may still apply. Although this position may remain open until filled, the hiring team may be at a late stage in the interview process and might not necessarily return to the applicant pool. You will be notified when your status has changed or been updated in the system. If you are interested in temporary opportunities, please contact a member of the UVA Temps, Talent Flexibility Team and they can schedule an in-person interview with you, they can be contacted at temps@virginia.edu.

 

Q: Do I need to review the fields in the application if I use the quick apply option?

A: Yes. Please make sure all information is correct before you submit. Sometimes the upload does not complete all fields manually. You’ll need to do this for every application you submit.

 

Q: Who should I address my cover letter to?

For Academic Division positions: You should address your cover letter to the hiring official listed in the job posting. If the hiring official is not listed, please contact the recruiter listed on the posting and ask for the correct name and contact information. 

For Medical Center positions: Cover letters are not required for medical center candidates. If you are submitting a cover letter, we would recommend that you address it to “Human Resources” or “Hiring Leader.”

For Wage positions: Cover letters are not required for all wage positions. Please review the application instructions in each job positing for cover letter requirements. If you are submitting a cover letter, we would recommend that you address it to “Human Resources” or “Hiring Official.”

 

After Applying

Q: What happens after I hit submit on an application?  

A: You will receive an email confirmation when you have successfully applied to an open position. Your application and qualifications will be reviewed by a recruiter for the minimum qualifications and the department's preferred skills and experience for the position. The hiring manager will review applications from the forwarded candidates and select those they are interested in contacting for an on-site or virtual interview. The hiring manager, or a recruiter, will contact an applicant directly if they are interested in arranging an interview. Following the interviews, the hiring manager will select the most suitable candidate for the position.

 

Q: May I come in for an interview and/or schedule a meeting with a recruiter?

A: Due to the volume of applications, recruiters are unable to meet with each candidate related to their application(s) for individual positions.  For select clinical/technical positions at UVA Health which are deemed critical, or hard to fill, specific information will be present within the job posting on how to directly contact the recruiter for additional information. Candidates can log into their Workday account to obtain updated information regarding the position(s) for which they have applied. The hiring manager will review applications from the forwarded candidates and select those they are interested in contacting for an interview. The hiring manager will contact an applicant directly if they are interested in arranging an interview. Following the interviews, the hiring manager will select the most suitable candidate for the position. Please keep in mind that due to the volume of applications received that most searches are highly competitive, and as much as we would like to, we are unable to notify each applicant not selected.

Q: What is my application status?

A: You can view your application status online within your Workday profile. If you are selected for an interview, you will be contacted by the recruiter or hiring leader.  If you are not selected, your status will be updated in Workday. Some searches can take weeks or months to complete due to the hiring officials’ capacity to interview. The HR Solution Center will not have additional information outside of the status that you see, and Recruiters cannot provide status updates other than what information is in the system.

 

Q: I applied for a job, but the status is still “In Progress”. When can I expect to hear something back?

A: Hiring timelines vary from role to role. It depends on the departmental needs and their bandwidth. You will be notified via email once a final decision is made regarding your application.

 

Q: I saw that the position I was interested in was removed. Does that mean it is closed?

A: If a position is no longer on the UVA website, the position may have been closed (an applicant hired) or cancelled (position closed without a hire).

 

Q: I am a current worker here and applied for a job.  I received an email that I need to apply in Workday and my status now says “Withdrawn”. I am now trying to apply in Workday but it won’t let me.

A: Since you currently work here, you do not apply using the external career site, but within Workday. If you apply through the external site, your application is automatically withdrawn. To apply, please log in to Workday (not the career site), key Find Job in the search box, locate the job you with to apply to, and click the Apply button. Please contact the HR Solution Center (askhr@virginia.edu) should you need further assistance.

 

Q: I applied for a job and just realized a mistake with my required documents. Should I withdraw my application and replace the documents?

A: Please DO NOT withdraw your application. Once you submit your application, you are only able to edit your name, email, and address. Please email all other documents, the job posting number, and your name to the HR Solution Center (askhr@virginia.edu).

 

Q: Will I be notified if I am not selected for the position?

A: A recruiter or hiring manager will contact you directly if they are interested in speaking with you about a position for which you applied. We regret that due to the volume of applicants UVA receives, we are unable to speak with each candidate individually regarding the status their application. Candidates should receive an update via Workday when a position is closed (an applicant hired) or cancelled (position closed without a hire). If the position is no longer posted within Workday, and you have not been asked to interview, than it is likely that you have not received an interview for the role. 

All UVA Temp postings and a number of the hourly wage positions (i.e. Bus Driver, Lifeguard, etc.) remain posted year-round to fill vacancies as they become available. In these cases, your application will remain in the applicant pool to be considered for all available openings, however you will be notified if the position is cancelled.

 

Q: How can I find out if there are similar positions to the one to which I am applying?

A: Similar jobs are listed on the bottom right hand of the Workday job posting.
